Aletheia Lunara Consult is a professional education and consulting firm registered in Ghana under the Registration of Business Names Act, 1962 (Act 151), Business Registration Number BN343830326, with a postal address at P.O. Box 479, Winneba, Central Region, Ghana.
We are the data controller for the personal information described in this policy. You can reach us about anything in it at training@aletheialunaraconsult.org or on +233 506 377 826.
This policy explains what we do with personal information when you visit aletheialunaraconsult.org, contact us, or register for one of our programmes.
It does not cover workforce data that a client organisation asks us to analyse under a consulting or research engagement. In that work the client remains the data controller and we act on their instructions under a separate agreement. The section on client engagements below sets out how we treat that data.
When you use the contact form. We collect your name, email address, city and the message you write.
When you register for a programme. We collect the details asked for on the registration form, which are typically your name, email address, phone number, organisation and role. Registration currently runs through a Google Form, so your responses are stored in Google Workspace before we transfer them to our own records.
When you contact us by WhatsApp, phone or email. We hold whatever you choose to send us, along with your phone number or email address.
When you attend a programme. We keep a record of your attendance and, where a certificate is issued, the information printed on it. Live sessions are delivered online, on Zoom and on other video conferencing platforms depending on the programme, and are recorded where the programme includes recordings. That means your name, and your voice and image if your camera and microphone are on, may appear in the recording shared with participants.
Our web host records standard server log information when a page is requested, including the requesting IP address, the time, the page requested and the browser used. This is ordinary server operation and is used for security and for keeping the site working.
The site sets one cookie, PHPSESSID. It is a session cookie the website software uses to keep a page working while you move through it, and it expires when you close your browser. It does not track you and it is not used for advertising.
We do not run analytics, we do not run advertising pixels, and we do not load third-party scripts. Nothing on this site profiles you or follows you to other websites.
We use it to reply to your enquiry, to register you for a programme and send you the joining details, to deliver the programme and issue certificates, to keep our own records of who we have trained, to send you information about programmes where you have asked us to, and to meet our legal and accounting obligations.
Where we rely on your consent, for example to send you programme announcements, you can withdraw it at any time and we will stop.
We do not sell your personal information and we do not share it for anyone else’s marketing.
We use a small number of service providers who process information on our behalf:
We also share information where we are required to by law, or where it is necessary to establish or defend a legal claim.
Some of the providers above store data outside Ghana. That means your information may be processed in countries with different data protection rules from Ghana’s. Where that happens we rely on the provider’s own contractual protections, and we limit what we send to what the service needs to do its job.
We keep enquiry records for 24 months from your last contact with us.
We keep participant records, including attendance and certificate details, for 7 years. This is the period we keep records that may be needed for tax, accounting or certificate verification.
Recordings of live sessions are kept for as long as the programme’s participants have access to them, and are then deleted.
Where you ask us to delete your information and we have no legal reason to keep it, we delete it.
Access to our records is limited to the people who need it to do the work. The website is served over an encrypted connection. Where we hold participant or client data we store it in access-controlled accounts rather than on shared or open drives.
No system is completely secure. If a breach occurs that is likely to put you at risk, we will tell you and the Data Protection Commission as the law requires.
The Data Protection Act, 2012 (Act 843) gives you the right to:
To use any of these rights, write to training@aletheialunaraconsult.org. We will respond within the period the Act allows and we will not charge you for a reasonable request.
If you are not satisfied with how we have handled your request, you can complain to the Data Protection Commission of Ghana.
Where the General Data Protection Regulation or the UK GDPR applies to you, you have the rights listed above and, in addition, the right to receive the information you gave us in a portable format, the right to ask us to restrict how we use your information while a dispute is resolved, and the right to complain to the supervisory authority in the country where you live.
Our lawful bases are:
We do not make decisions about you by automated means alone.
Wherever you are, you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it, and we will treat your request the same way we treat one made under Ghanaian law.
When a client organisation asks us to analyse workforce data, that organisation decides what data we receive and what we do with it. We act on their written instructions.
In that work we ask for the minimum data the analysis needs, we prefer data with direct identifiers removed where the question allows it, we do not use client data for any purpose of our own, and we return or delete it at the end of the engagement unless the agreement says otherwise.
If you are an employee of a client organisation and you want to know what is held about you, your employer is the right place to ask.
Our programmes and services are for professionals and organisations. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, write to us and we will delete it.
We update this policy when what we do changes. The date at the top shows when it was last revised.
